You will provide administrative assistance to the business unit management and board members, including board activities, visitors, correspondence, appointments, travel and other types of activities. We Offer A super exciting role where you will be accountable for a wide range of administrative functions including ( but not limited to ) scheduling and calendar management, travel arrangements and expense reporting, and preparing material and presentations for senior audiences and executive stakeholders. Key Responsibilities: Manages the appointment calendar and independently schedules appointments. Screens incoming calls and correspondence and responds independently when possible. Arranges programs, events or conferences by procuring facilities and caterers, issuing information or invitations, coordinating speakers, and controlling event budgets. Directs preparation of records such as agendas, notices, minutes and resolutions of corporate meetings. Manages Travel Expense Management and travel coordination for the leader or multiple leaders in the department. Provides ad hoc assistance related to department projects to other initiatives. What we are looking for: Proven experience as an executive administrative assistant, senior executive assistant or in other secretarial position Excellent knowledge of MS Office Proficiency in English Exemplary planning and time management skills Self-motivated and proactive Ability to multitask and prioritize daily workload High-level verbal and written communications skills Discretion and confidentiality Bachelor's degree; additional qualification as a personal assistant will be a plus Basic understanding and experience in the shipping industry will be a plus A highly goal-oriented individual who is resilient in their pursuit of growth An open-minded, curious and a strong problem solver Strong sense for organizational and political intelligence Availability to start within short notice is highly preferred
