The Assistant will support and work alongside the President and Communications department. Responsibilities: Assistant to Country Director Facilitate and optimize the President’s activities, internal and external relations and the circulation of information. Carry out secretarial and personal assistant tasks: manage the President’s calendar and travel arrangements, draft letters/memo, welcoming customers during onsite visits, coordinate meetings and internal events (including emails such as season greetings), driver’s schedule, assist executive meetings including preparing meeting minutes, internal events coordination Carry out specific assignments in various domains (management, purchasing, IT, finance, HR, communication, quality, and others) when required, upon Management’s request. Respects the confidentiality of information communicated to him/her Administrative tasks such as business cards, staff ID cards, office supply, printer management, postage meter report, ordering calendar, logistic support for Thales mission employees, telephone list, vendors’ contact, various support for Thales employees in Japan, cooperating with the Office Manager. Communications The Communications Officer for Japan is responsible for supporting external and internal Communications initiatives for Thales in Japan. The role is focused on protecting and enhancing the Thales brand and reputation internally and externally, through social media engagement, internal communications and events. Effective transverse collaboration with peers across the functions and business units within the company, as well as upwards towards the Asia communications team is fundamental for success in this role. External Communications Management: Execute strategic communications initiatives, including branding, media and sponsorship campaigns, to grow awareness and exposure of the Thales brand. Promote the Thales brand in all content created, including press releases, collateral, infographics, customer reference stories, audio-visual content to support spokespeople or key projects in Japan. Work with agencies and internal teams (Marketing, Sales, Key Account Managers) on enhancing Thales’ image towards the media and customers. Works on content (self-generated or by agencies or other internal stakeholders) to ensure that messages are aligned with corporate communication guidelines and storytelling best practices Manage and amplify local news on Thales’ social media channels. Manage content on the Thales Japan corporate webpage. Measure and report upwards on Communications activities and KPIs in Japan. Internal Communications Management: Communicate internally on country-level initiatives – writing stories for the Intranet that create a sense of belonging and engagement Work closely with HR on Employer Branding campaigns, ensuring that Thales in Japan is represented Manage the Thales Intranet pages for Japan, ensure updated content and a consistent news feed Events Management: Work closely with Asia Events and Exhibitions Manager on local events – ensuring consistency of messages and branding support. These can include local team briefs, Town Hall events and local conferences. Provide communication counsel and direction for local events (e.g. supporting a bid, new product launch), creating relevant local messaging and storytelling, and working closely with Marketing function to ensure maximum brand exposure and message alignment. Requirements: Good knowledge of Sales Assistant activities, including export and import regulations Minimum 2-3 years’ experience in Corporate / Brand / Marketing communications, public relations, journalism or marketing role – developed in-house or at an agency Business level English (verbal and written). An exceptional writer in content creation in a variety of styles (press releases, bylines, social media, internal stories) Strong understanding of the local media landscape Good knowledge of Microsoft suite of applications Must be able to understand contract documents Effective multi-tasker who is able to work under pressure Strong interpersonal skills – the ability to comfortably navigate a complex matrix organization and collaborate effectively with stakeholders from different management levels, geographies and cultures is imperative. Effective multi-tasker who is able to work under pressure to meet deadlines, including quick reactions in times of crisis. Polished and professional, with high degree of integrity and sense of confidentiality.
