About the Role We are seeking a Part-Time, Public Relations Office Coordinator, Location- SA/NT, tasked with providing a truly exceptional, customer focused service to drive excellence and performance. Purpose: To provide central team coordination and administrative support for the successful delivery of diverse Communications portfolio functions in the Public Relations Office SA/NT. Key Roles and Responsibilities: OFFICE AND TEAM ADMINISTRATION Provide administrative support to Public Relations Secretary (PRS) SA/NT and the local and regional Public Relations (PR) team. Assist with the preparation of presentations and proposals Incoming mail is sorted, screened, processed and distributed ensuring items requiring urgent attention are appropriately flagged for immediate action Act as liaison between PR Office and Donor Care Services Supplier and general finance queries are responded to and actioned as required Timely completion of Imprest/Credit Card processes and invoices for payment Accurate Data entry with high attention to detail (relevant systems including Blackbaud, GRM, Cvent etc) Order and maintain promotional stock and equipment supplies at required levels Maintain records and filing systems Provide advice to Corps and administrative support for PR Office in Self Denial Appeal processes Respond to general enquiries in a professional manner Coordinate the loan, return and maintenance of equipment to Corps as required Administrative tasks are completed within agreed timeframes Ensure TSA OHS standards and policy are strictly always adhered to Ensure the general office area is clean, presentable, and free from hazards Conduct other support and administrative activities as required. MEETING / EVENT COORDINATION End-to-end support of meeting and workshop co-ordination including sourcing venues, technical and catering requirements within the agreed PR office framework, budget and timeframe Assist with PR office special events/RSA launches as required Co-ordinate the three SA based Advisory Group meetings Prepare agendas, record meeting minutes, and follow up on action points. Distribution of relevant papers pre and post meetings Ensure all meeting attendees are provided with all the necessary information ahead of time Arrange catering as required. STAKEHOLDER ENGAGEMENT Maintain and enhance relationships with internal and external stakeholders Build rapport with visitors to the PR office Liaise and coordinate meetings, visits and special engagements with stakeholders as requested Co-ordinate all necessary arrangements for internal and external events and meetings as required by the PR Secretary within agreed timeframes and to agreed standards Support to the PR Secretary with local content for the SA Facebook page Support to the PR Secretary with content coordination for LinkedIn Online presence is relevant, local and efficiently coordinated Contribute to the success of the team by supporting and encouraging other team members VOLUNTEER SUPPORT AND COORDINATION In conjunction with the PR Secretary, coordinate volunteers working with the PR team Volunteer support is effective, and everyone involved feels supported and engaged Education Qualifications: Significant demonstrated equivalent and relevant experience, knowledge, and skills Intermediate to advanced skills in using a range of software applications High level writing skills, including editing / proof reading and minute taking Demonstrated ability to manage multiple tasks and competing deadlines Ability to prepare, check and edit documentation with a high degree of accuracy Intermediate ability with document preparation, use of spreadsheets, email, and web browser Proficient in Microsoft Office Suite (PowerPoint, Excel, Word, Outlook) Why Work for us: In return we offer our employees real and meaningful benefits such as; NFP salary packaging ($15,900 tax free) plus meals and entertainment benefits Flexible working conditions Paid parental leave Financial, retail and lifestyle discounts and benefits Employee Assistance Program - Independent confidential counselling service Opportunity for career development An inclusive culture of dedicated, passionate and professional team members Positively supporting and impacting the lives of others through your career contribution The Salvation Army is an Equal Opportunity Employer who provides an inclusive work environment and embraces the diverse talent of its people.
