The HR Associate is responsible for providing HR administrative support across the countries they support, partnering closely with the relevant HR Manager on the ground. Their knowledge of all core HR related topics impacting the employee life cycle will be key to deliver a fast and accurate level of service to employees. They may support country or regional projects or initiatives aimed at improving service delivery and employee experience. About the Role In this role as HR Associate, you will: Always provides a high level of customer service. Be responsible for administrative activities as part of the employee life cycle including producing relevant documentation (e.g., new hires, leavers, transfers, promotions etc and coordinates with relevant stakeholders to ensure proper execution of all associated tasks) and ensure that the Workday/System updates are done Act as Knowledge Expert work/ System Key user for Workday Manage documentation and Workday updates for parental, sabbatical, unpaid leaves and visa end information and probation etc Draft and issue routine documentation (such as employment verification, reference letters, business invitations, extension letters etc.) Manage any Purchasing Orders and Invoice payments for HR/Benefit expenses in the countries of responsibility (including cost allocation) Report on and manage fixed term contracts that are ending (ensuring the employee being terminated or extended in the HR System Workday and the associated paperwork is produced) Manage benefit renewal and administration (such as medical scheme membership, pension, lunch vouchers and sports club subsidies) Manage Workday tasks or delegates to the team as appropriate, and manage progress on the outstanding actions Completes benefit enrolment audits where needed and process ad hoc benefit and pension changes Be responsible for local statutory reporting requirements in the countries of responsibility Provide admin support of the recruitment and onboarding of candidates Support processes relating to the relocation of employees Liaise and partner closely with our payroll team to ensure changes are affected in a timely manner and in line with payroll deadlines File soft copies of documents into employee files held on the HR SharePoint for the relevant country, adhering to data protection requirements as appropriate Provide admin support to country or regional HR projects Work closely with the local/regional HR Teams on the ground in the countries they support About You You’re a fit for the role of HR Associate if your background includes: Minimum of two years of experience into HR Fluent English, any European language would be an advantage Relevant Undergraduate degree Working experience in Workday Experience into activities of an employee life Cycle. Experience working with Office applications including Word, Excel and PowerPoint Open-mindedness, willingness to work in a multi-cultural environment, and a can-do attitude Strong collaboration skills and ability to work well within a team environment Customer-centric mindset and sense of urgency Ability to question effectively, identify and evaluate risks, know when to seek guidance or escalate to others and take appropriate action to minimise risks Having an eye for detail and following the rules.
