Job Summary:
The Email Administrator is responsible for managing and maintaining the organization's email systems to ensure optimal performance, security, and availability. This role involves overseeing email servers, troubleshooting issues, implementing security measures, and providing user support.

Key Responsibilities:

Email System Management:
Install, configure, and maintain email servers and related hardware and software.
Ensure the email system's availability and performance by monitoring and optimizing server operations.
Manage user accounts, distribution groups, and email aliases.
Security and Compliance:
Implement and enforce email security policies to protect against spam, phishing, and other email-borne threats.
Ensure compliance with relevant data protection regulations and organizational policies.
Monitor and address security incidents related to email.
Troubleshooting and Support:
Provide technical support to users for email-related issues.
Troubleshoot and resolve email system problems promptly.
Liaise with external vendors and service providers for issue resolution.
Backup and Recovery:
Develop and maintain backup and recovery procedures for email systems.
Ensure regular backups are performed and verify the integrity of backup data.
Execute recovery procedures in the event of data loss or system failure.
System Upgrades and Maintenance:
Plan and execute upgrades and patches for email servers and associated software.
Perform routine maintenance tasks to ensure the email system's reliability and security.
Documentation and Reporting:
Maintain comprehensive documentation of email system configurations, procedures, and policies.
Generate regular reports on email system performance, usage, and security incidents.
Qualifications:

Bachelor's degree in Information Technology, Computer Science, or a related field.
Proven experience in email system administration, preferably with Microsoft Exchange, Office 365, or similar platforms.
Strong understanding of email protocols (SMTP, IMAP, POP3) and related technologies.
Knowledge of email security best practices and tools.
Excellent troubleshooting and problem-solving skills.
Strong communication and interpersonal skills.
Preferred Skills:

Certification in email system administration (e.g., Microsoft Certified: Messaging Administrator Associate).
Experience with email archiving and compliance solutions.
Familiarity with scripting and automation tools.
Working Conditions:

This position may require occasional after-hours or weekend work for system maintenance and upgrades.
The role may involve on-call duties to respond to urgent email system issues.
