Job Description: Administration Assistant
Position Overview:
We are seeking a dedicated and detail-oriented Administration Assistant to join our team. The ideal candidate will provide essential administrative support to ensure efficient office operations and financial management. The role involves utilizing SAP ERP systems for quoting, customer follow-up, and vendor coordination, along with handling various administrative tasks.
Key Responsibilities:
• Utilize SAP ERP system for quoting, customer follow-up, and vendor coordination.
• Schedule and attend meetings, ensuring necessary follow-up actions are taken.
• Execute invoices and payments for all purchases, including freight, import costs, shipping, clearance, etc.
• Prepare ledgers, statements, and accounts to identify errors and report findings to the General Manager.
• Assist in setting and managing end-of-year budgets and financial settlements (prepaid, accrued, depreciation, etc.).
• Conduct statistical analysis and produce reports as required by management.
• Prepare and report monthly general accounts for cost center activities to ensure financial targets are met.
Qualifications and Skills:
• Bachelor’s degree in Business Administration, Accounting, or related field preferred.
• Proven experience (2+ years) in administrative or accounting roles.
• Proficiency in SAP ERP or similar systems is highly desirable.
• Strong organizational skills with the ability to prioritize tasks effectively.
• Excellent communication skills, both written and verbal.
• Ability to work independently and collaboratively in a fast-paced environment.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Understanding of financial principles and budget management.
• Ability to handle confidential information with discretion.
