Roles & responsibilities:

- Manage the clerical and administrative functions of an office. - Ensure peak organisational operations and provide preventative measures by identifying bottlenecks.
- Assisting with and following all the established policies and procedures. Ultimately improving operational efficiency where identified.
- Managing & arranging inventory.
- Overseeing fulfilment of all orders for the customers via our online store and offline purchases, as well as third-party bulk orders, such as distributors & stockists.
- Maintaining general office files including job files, vendor files, and other files related to the company's operations as necessary.
- Overseeing the maintenance of office facilities, and equipment.
- Dealing with customer correspondence and supporting the customer service team where necessary.
- Providing direct administrative support as needed, including scheduling appointments, meetings, and events, booking travel, and maintaining the filing system.
- Mailing and shipping packages & orders, updating the customer database and employee list.
- Performing bookkeeping tasks such as invoices, monitoring accounts & Product Registration Certificates (PRCs), other related paperwork, and their expiry dates.
- Support and oversee the accounting function, prepare monthly payables, and save into related folders for the accounting department.
- Sourcing manufacturers and new suppliers when required and managing the existing relationships.
- Assisting with booking consultations & managing the schedule for in-house health coaches.
- Webinar & event coordination and support when necessary.
- Establishing good professional relationships with all our stockists & distributors.

- Very organised & able to maintain all folders in an organised & neat manner.
- Detail-oriented, high attention to detail.
- Ability to multitask & manage various responsibilities at once.
- Ability to troubleshoot to resolve issues as necessary.
- Excellent communication skills, both written and verbal.


Education, experience & licensing requirements:

- 3+ years of experience as an Operations Admin.
- University degree in business administration, facility management, or a related field preferred.
- Strong organisational and administrative skills.
- Experience working for an e-commerce brand/organisation.
- Proficiency in Microsoft Office, and data management.
