Serve as primary point of communication for the Company including responding to emails, scheduling meeting and answering phone calls and direct them to necessary.
Compose and Prepare correspondence, reports, and presentations.
Provides all necessary Secretarial and Office Support to the Manager and Staff.
Accepts invoices and handle/process all incoming and outgoing couriers.
Copy, file and maintain paper or electronic documents and records.
In charge of HR related work such as processing/monitoring and renewals of visa for all staff.
Arranging/Renewal formalities for the Trade License of Company/Tenancy Contract/Immigration & Labour Card.
Manage flight booking and hotel reservation for all staff.
In-charge of office supplies, place orders and keep inventory of stocks.
Manage and Maintain Office Equipment.
Monitor monthly bills of the Company and maintain that all bills are paid.
Monitor and Prepared PDC.
Process Company Payroll through WPS.
Prepares invoices and follow up payments.
Handling petty cash for vessel and office operational expenses.
Arrange some bank transaction like telegraphic transfer application, requesting cheque booklets.
Assists Accounts in monitoring payables and receivables.
Responsible for Ship/Vessel Operations such as:
Coordinating with suppliers and clients
Communicate with Port Agents regarding crew change, vessel E.T.A/E.T.D, pre- arrival information of vessel, certificates needed for berthing plan.
Manage vessel operations such as order of bunker, lubricant, spare parts and services needed on board of the vessel.
Coordinating Master from time to time regarding vessel loading/unloading status and other request needed on board from port of loading and discharging.
Handling crew change and coordinate with manning agencies with regards crew requirements and selection of joiner crew as per their capacity and arrange their sign on and sign off formalities.
Maintains shipment files, issues reports, and keep record of vessel certificate.
Communicate accurate order/shipment/export details to Customer Service.
