The Valuation Team manages multiple significant workflows, providing analysis and guidance to the technical, commercial, and financial workstreams in a fast-paced environment. The role is responsible for providing first class administrative and secretarial support to the VP Portfolio Valuation Renewable Generation What's the role? The position will involve collaborating with Leadership Team members in various countries/continents, engaging global contacts both within Shell and externally, as well as other assistants. Typical day-to-day activities will include: Full diary/schedule/calendar management for VP Portfolio Valuation and EVP End-to-end travel coordination; which may include visa/passport management, travel bookings, hotel reservations, expense management, arranging f2f session itineraries and liaising with local staff, providing accurate printouts, car rental, organising/coordinating events in/outside Shell offices (such as social events, LT meetings, external company sessions) General office management Scheduling a variety of types of meetings for attendees in multiple time zones, including booking facilities when necessary Managing large e-mail volume, reports, post, phone calls and messaging distribution list via the various Shell IT methods, and solid understanding of these facilities to guide and troubleshoot for leaders Set-up of video conferencing, audio conferencing and web conferencing facilities Assisting in preparation of documents, reports, presentation material Arranging on-boarding of new staff Relevant building access for external visitors and visiting staff, and at times preparing the agenda, greeting and escorting visitors as needed Business Focal Point for buildings/real estate/facilities management Maintaining/managing sharepoint site and reference documents held within, including acting as custodian of access rights Managing financial transactions using GCC, payment of invoices, setting up of purchase orders, filling invoices Supporting Portfolio Valuation communication activities including administration and logistics for staff webcasts/town halls What we need from you? We are looking for an experienced Management Assistant with excellent business support skills and ability to work both independently and as a member of a team, to set priorities and manage workload. We also hope you possess the following skills and abilities: Ability to build a connection and to work with PAs across the Shell organisation to optimise and align calendar schedules etc. Utmost integrity to work on confidential matters A self-starter, able to display initiative and a large degree of flexibility to take on a range of activities Able to multi-task and manage conflicting priorities with a positive attitude Resourceful and able to competently handle unforeseen circumstances as and when they arise Excellent English language skills Courteous with a strong sense of diplomacy Excellent interpersonal skills with an ability to communicate effectively and a proven track record of establishing relationships and networks at all levels Confident in dealing with senior leaders and external visitors and to act as an Ambassador for Shell Exposure to corporate/global environment Computer literate and sufficiently experienced with Shell systems to be able to guide others Demonstrates Learner mindset COMPANY DESCRIPTION Shell started operations in the United Kingdom more than 110 years ago.
